What is virtual bookkeeping?
Virtual bookkeeping means I handle all your bookkeeping remotely using cloud-based software like QuickBooks Online. You don't need to come to an office or hand over paper files. I connect securely to your bank accounts, categorize transactions, reconcile your books, and deliver reports, all online. It's the same quality of work as an in-person bookkeeper, with the convenience of working from anywhere.
What software do you use?
I work exclusively with QuickBooks Online (QBO). As a certified QuickBooks ProAdvisor (Silver level), I can set up your account, optimize your chart of accounts, and troubleshoot any QBO issues. Clients who sign up through me also receive a discount on their QBO subscription.
How does your pricing work?
I offer fixed monthly pricing so you always know what you're paying. The Starter package starts at $250/month for businesses with 1-2 accounts. The Growth package starts at $400/month for businesses with up to 5 accounts and more complex needs. Catch-up bookkeeping starts at $200 per month behind. Payroll and HST filing are available as add-ons. No hourly rates, no surprise invoices.
What's included in the monthly packages?
Both packages include bank and credit card reconciliation, categorizing income and expenses, monthly expense organization, basic HST preparation, and email support. The Growth package adds monthly financial reports (P&L and Balance Sheet), receipt uploads, and vendor/customer setup. I work on your books weekly, not in a monthly batch.
How does onboarding work?
We start with a free 30-minute consultation to discuss your business and bookkeeping needs. If we're a good fit, I'll set up (or connect to) your QuickBooks Online account, configure your chart of accounts, connect bank feeds, and organize everything properly. Most clients are fully onboarded within a week.
Can you help if my books are months behind?
Absolutely. That's what the Catch-Up / Cleanup service is for. Whether you're a few months or a few years behind, I'll reconcile all your accounts, categorize every transaction, and bring your records fully up to date. Pricing starts at $200 per month behind and depends on complexity. Contact me for a custom quote.
Do you prepare and file taxes?
I don't prepare income tax returns, but I keep your books tax-ready year-round so your accountant or tax preparer has everything they need. I can refer you to a trusted accountant if you don't have one. I do file HST returns directly with the CRA as an add-on service ($50-$100 per filing).
How often do you work on my books?
Weekly. Unlike some bookkeepers who batch everything at month-end, I review and categorize your transactions throughout the month. This means your books are always close to current, and any questions about categorization get addressed quickly rather than piling up.
What industries do you specialize in?
I work with small businesses across many industries, but I have particular expertise with trades businesses (electricians, plumbers, contractors) and bakeries/cafes. These industries have specific bookkeeping challenges (job costing, vehicle expenses, ingredient tracking, seasonal revenue, and I understand them well.
What does the free consultation involve?
It's a 30-minute conversation where I learn about your business, your current bookkeeping situation, and what you need. There's no sales pitch and no pressure. We're figuring out if we're a good fit for each other. I'll ask about your transaction volume, number of accounts, and whether your books are current or need catch-up work. By the end, you'll have a clear recommendation and a quote.
How do you keep my financial data secure?
I use QuickBooks Online, which has bank-level encryption and security. I access your books through secure, authorized connections. Never through shared passwords. All bank feed connections use read-only access through Intuit's secure platform. I follow best practices for data security and confidentiality.
What if I want to cancel or switch services?
There are no long-term contracts. You can adjust your package or cancel at any time with 30 days' notice. If you cancel, I'll make sure your books are up to date and provide a clean handoff to you or your next bookkeeper. Your QuickBooks Online data always belongs to you.
